Privacy Policy
Your privacy is important to us. This policy explains how we collect, use and protect your personal information in accordance with Quebec's Law 25.
Privacy Officer
Andy Williams is the person responsible for the protection of personal information for Veridian Santé Intégrative. Questions, requests to access or correct personal information, and privacy-related complaints may be sent to privacy@veridianroot.com.
Information We Collect
We may collect the following categories of personal information:
- •We may collect your name, email address and the content of your message when you contact us directly by email. Please do not send detailed health or clinical information through the general inquiry email.
- •The Phase 1 website is not intended to collect health-related or clinical information, and such information should not be sent through the general inquiry email. Any future collection of health-related information through a consultation or intake process will be subject to separately approved procedures and privacy notices before it is activated.
- •When you visit the website, our hosting provider, Vercel, may automatically process limited technical information necessary to deliver, secure and operate the website, such as your IP address, requested pages or resources, and other connection or operational log information. We do not currently use Google Analytics, Meta Pixel, Vercel Web Analytics or other advertising or behavioural-tracking tools.
How We Use Your Information
- •To respond to general inquiries, including questions about consultations and our services.
- •Newsletter subscriptions are not currently active. We do not collect personal information for newsletter distribution through the Phase 1 website.
- •To operate, maintain, secure and troubleshoot our website and related services.
- •To comply with legal and regulatory obligations.
Consent
When you voluntarily contact us by email, you provide the personal information you choose to include so that we can respond to your inquiry. Where consent is required by law for another purpose, we will seek clear, informed and specific consent before using or disclosing personal information for that purpose. Consent may be withdrawn where applicable, subject to legal or other applicable requirements.
Third Parties
We use service providers to support the operation of the Phase 1 website and business communications. These include Vercel for website hosting and related operational infrastructure, and Proton Mail for email communications. These providers may process limited personal or technical information only as necessary to provide their services, subject to their applicable terms and safeguards. We do not sell personal information. Providers for online booking, newsletter distribution, payments or health-intake services are not active through the Phase 1 website. Because these service providers and their infrastructure may operate outside Québec, limited personal or technical information may be processed, stored or otherwise handled outside Québec.
Data Retention
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, subject to applicable legal, regulatory, contractual or evidentiary requirements. General non-client correspondence is reviewed after the matter is closed, with an internal target of secure deletion within 30 days after closure unless a documented exception or preservation requirement applies. Technical and operational information processed by service providers may be retained according to their applicable system and log-retention practices.
Your Rights Under Law 25
Under Québec’s Act respecting the protection of personal information in the private sector (Law 25), you may exercise the rights described below. Requests for access, correction, portability, cessation of dissemination or de-indexation may be sent in writing to our Privacy Officer at privacy@veridianroot.com. We may take reasonable steps to verify your identity before responding. Access and correction requests will be handled within the applicable legal period, generally no later than 30 days after receipt.
- •Access the personal information we hold about you and, where applicable, receive computerized personal information collected from you, and not created or inferred by us, in a structured, commonly used technological format, or request that it be communicated in that format to a person or organization authorized by law to receive it, unless doing so raises serious practical difficulties.
- •Request correction of inaccurate or incomplete information.
- •Where the legal conditions are met, request that dissemination of your personal information cease or that a hyperlink associated with your name giving access to personal information be de-indexed or re-indexed.
- •Withdraw your consent to the use or disclosure of your personal information where the law permits. Withdrawal may affect our ability to provide a service that depends on that consent, and certain information may still need to be retained or processed to meet applicable legal obligations.
- •Submit a privacy-related complaint to our Privacy Officer. We will review privacy complaints fairly, confidentially and proportionately. This internal process does not limit your right to contact or file a complaint with the Commission d’accès à l’information du Québec.
Changes to This Policy
We may update this privacy policy from time to time to reflect changes in our practices or legal requirements. The most current version will always be available on this page.
